The context

Structuring an electronic voting start-up with a reliable ERP backbone

VCAST is a specialist in online and multichannel electronic voting, supporting private-sector companies with end-to-end, compliant, and secure professional elections based on the Belenios technology developed by CNRS and Inria.

Before the project, VCAST was growing rapidly and needed to better structure how it handled quotations, sales, and billing so that its internal operations could keep pace with the expansion of its trusted electronic voting services.

The stakes were to establish a solid operational foundation for growth, ensure reliable and compliant financial processes, and gain clear visibility over customers and activity, while maintaining the high level of trust expected from a provider of electronic voting solutions.

Their needs

A scalable ERP to support growth and secure operations

VCAST wanted to use Odoo to efficiently manage its quotations, sales, and billing, and turned to Captivea to leverage its recognised expertise in Odoo ERP implementation and a deployment tailored to VCAST’s specific business needs.

  • Efficient management of quotations, sales, and invoicing in a single system.
  • A structured, reliable process for financial data and reporting.
  • Centralised customer and sales information to support day-to-day operations and decision-making.
  • An ERP setup tailored to the electronic voting business and capable of supporting future growth.

The proposed solution

An Odoo ERP foundation aligned with VCAST’s voting business

Captivea began the project with a full analysis of VCAST’s Odoo environment, running business discovery workshops by theme and user group to understand their processes in detail. From there, Captivea defined clear objectives, confirmed feasibility, budget, and timeline, and delivered structured documentation showing how Odoo would be used. Odoo was then configured with Accounting, Expenses, CRM, Sales, Employees, and Email Marketing so that VCAST could centralise its financial flows, customer data, and employee information, automate quotes and invoices, and run targeted, automated email campaigns—all within a single, integrated ERP.

The first step of this project is to perform a complete analysis of the client's Odoo environment.

Analysis objectives

  • To be reassured on the faisability
  • Show that we understood their business
  • To confirm a budget
  • To know and confirm how we will do it
  • Know the timeline

Analysis processes

  1. Business discovery
  2. Workshops By theme / group of people / domains
  3. Create the deliverables documents
  4. Present it
  5. Handle feedback

“Odoo is open source software, and that was a big selling point for me right from the start. I tried installing it myself, getting familiar with it... but I quickly found it a bit complex. That’s when I realised I needed support from someone who really knows the tool. And that’s where Captivea’s role became truly important—essential, even.”
