Cluster for Logistics Luxembourg promotes initiatives that strengthen the country’s position as an intercontinental logistics hub in Europe. It is committed to serving, representing, and promoting the Luxembourg logistics community, thereby fostering networking and the exchange of innovations among its members. To achieve these objectives, the Cluster acts as a neutral platform for coordination, information, and communication, safeguards the interests of its members, and works to enhance the visibility of the Luxembourg logistics hub.

The context

A non-profit logistics cluster seeking a fully integrated digital platform

Cluster for Logistics is a non-profit organisation based in Kirchberg, Luxembourg, that brings together and represents the national logistics community to strengthen Luxembourg’s role as an intercontinental logistics hub in Europe.

Before the project, many of Cluster for Logistics’ processes were handled through repetitive manual tasks and disparate tools. Member information, billing, and activities were not centrally managed, real-time data was difficult to obtain, and customised reporting for decision-making required significant effort. Organising events, managing memberships, and communicating news to members involved multiple steps and scattered systems, limiting efficiency and visibility.

The priorities were to streamline membership and billing management, gain instant access to reliable data, and support the logistics community with timely information. Cluster for Logistics needed better visibility on its activities, smoother coordination of events and communications, and a system that could scale with its growing initiatives while preserving its role as a neutral, efficient platform for its members.

Their needs

Automate member management and gain real-time visibility

Cluster for Logistics wanted to automate repetitive tasks, access real-time information, and generate customised reports to support better decision-making, while improving both billing processes and member management in a single integrated system.

  • Automate repetitive administrative tasks related to members, billing, and day-to-day operations.
  • Centralise data to access reliable, real-time information across activities and stakeholders.
  • Generate customised reports that provide clear insights for management and strategic decisions.
  • Improve billing and member management while simplifying communication with the logistics community.

The proposed solution

An integrated Odoo ERP tailored to a logistics cluster

Captivea Luxembourg began by carrying out a detailed analysis of Cluster for Logistics’ existing Odoo environment through business discovery workshops and focused sessions with different stakeholder groups. Based on this analysis, Captivea implemented and configured Odoo ERP as an integrated platform, connecting Accounting, Expenses, Documents, CRM, Sales, Email Marketing, Events, Surveys, Discuss, Dashboard, Calendar, Inventory, Employees, and Recruitment. The outcome is a centralised contact and membership database, streamlined billing and expense handling, unified event and website management, and automated email campaigns, all within a single environment that provides real-time data and customised reporting for the organisation.

The first step of this project is to perform a complete analysis of the client's Odoo environment.

Analysis objectives

  • To be reassured on the faisability
  • Show that we understood their business
  • To confirm a budget
  • To know and confirm how we will do it
  • Know the timeline

Analysis processes

  1. Business discovery
  2. Workshops By theme / group of people / domains
  3. Create the deliverables documents
  4. Present it
  5. Handle feedback

“Thanks to Odoo and the support from Captivea, we now have direct access to a contact database integrated into the CRM, which also allows us to create opportunities and memberships. As a nonprofit organisation, we directly integrate these solutions into Odoo. We also organise numerous events, publish blogs and news that we can post directly on our website using Odoo. This greatly simplifies sending information via newsletters or mass mailing to our members. With the help of Captivea, we now have a fully integrated solution that meets all our requirements!”
